Production Coordinator Search

Job Description

We are seeking a highly organized and detail-oriented Production Coordinator to join our team. This is a part-time, as-needed, contracted position requiring increased commitment during the weeks leading up to and during our four annual productions as well as our participation in Charlotte Pride.

The Production Coordinator will play a vital role in ensuring the smooth production operations of our concerts and performances, working closely with the Artistic Director (AD), Production Committee, and volunteers. Responsibilities include oversight of sound, lighting, and projection design and operation, stage management tasks, and overall production coordination with a focus on technical elements. This role will also be responsible for any necessary riser rentals, primarily during the summer show.

Note that the AD is ultimately accountable and will oversee all production-related elements and the work of the production staff, which will be facilitated by regular meetings between Production Coordinator and AD.

Responsibilities:

  • Production Preparation:
    • Attend pre-production meetings with the AD and Production Committee chair to discuss show requirements.
    • Develop and maintain detailed production checklists in partnership with the AD.
    • Coordinate logistics for equipment rentals, including sound, lighting, risers, and other stage elements.
    • Secure backstage and tech volunteers for various production tasks and provide them with training.
  • Technical Operations:
    • Oversee and/or operate sound and lighting equipment operation during rehearsals and performances.
    • Troubleshoot and resolve technical issues during set-up, rehearsals, and performances.
    • Ensure proper storage, maintenance, and inventory of all production equipment.
  • Stage Management:
    • Work with the Artistic Director to coordinate any movement of the chorus during the performance, primarily in the Holiday and Spring shows.
    • Assist with setting up and breaking down risers, props, and other stage elements.
    • Coordinate with performers and Production Committee to ensure smooth transitions during rehearsals and performances.
  • Overall Production Coordination:
    • Adhere to the presented production budget
    • Act as a liaison between Production Committee and all concert venues and any additional external production related partners
    • Manage communication between the Artistic Director, performers, Production Committee, volunteers, and venue staff.
    • Maintain accurate records of production expenses and receipts.

Qualifications:

  • Minimum 1 year of experience in live production or a related field.
  • Strong interest in choral music is a plus.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel).
  • Strong problem-solving and decision-making abilities.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to lift and carry moderate weight (for setting up risers, etc.)
  • Availability to work evening and weekend hours during the weeks leading up to and during performances and Pride.
  • Willingness to learn and operate sound and lighting equipment (training will be provided).

The contractor is frequently required to stand; walk; reach with hands and arms and taste or smell. The contractor is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.
